COD Fulfillment: Built for Cash-on-Delivery Sellers

Sourcing, quality checks and per-order fulfilment organised around one fact: with COD, you only get paid when the parcel is accepted at the door.

COD Fulfillment That Understands Payment at the Door

Cash on delivery fulfillment is a different business from prepaid fulfilment, and sellers who treat the two as interchangeable usually discover the difference in their margin. If you sell into Latin America or the Middle East, you already know that COD is a mainstream payment habit for online shoppers — the courier collects payment when the parcel is handed over. That single fact changes what "fulfilment" has to achieve. This page explains how COD DropShip, operated by Mutual Dropshipping, handles cod fulfillment for sellers like you, from our sourcing base in Yiwu, China.

What COD Fulfillment Means — and Why It Differs from Prepaid Fulfilment

In a prepaid order, the money is already collected before the parcel leaves your warehouse. The job is to move a box. In a COD order, the parcel must arrive, be accepted by the recipient and be paid for at the door. Until the cash is collected, your revenue is still at risk, and the variables that decide whether you get paid are operational: address quality, delivery confirmation and local-language communication.

An address that is vague, missing a landmark or written in a format the last-mile courier cannot parse turns into a failed attempt. A recipient who is not called ahead and does not recognise the parcel refuses it. A buyer who cannot read the delivery notification in their own language does not show up. Each of these outcomes costs you the shipping, the handling fee and the return leg — on an order you never got paid for. For COD sellers, fulfilment is not a logistics line item; it is the margin. A partner that prepares every order for a door-to-door, pay-on-receipt journey is worth more than one that simply quotes the cheapest freight.

What the Service Includes, Step by Step

  • Store connection. Connect your store through the app on Shopify, WooCommerce, Salla or Lightfunnel, or send orders manually by CSV/Excel if you prefer. Orders flow into your account without re-typing.
  • Sourcing. Products are sourced from Yiwu International Trade City and the manufacturing belts around Yiwu — Jinhua, Yongkang, Pujiang and Dongyang. You pay product cost plus shipping plus a per-order handling fee of US$0.50 / $0.75 / $1.00 depending on the product — the same model shown in the pricing table below; there is no minimum order quantity, so a COD test order is a test order, not a container commitment.
  • Quality checks. Each order is checked before it is packed. The app and quality checks are free, and there is no subscription fee.
  • Warehousing. Stock is held at our China and US warehouses. Storage is free for the first 30 days at both; storage beyond 30 days is charged at rates confirmed in your quote.
  • Per-order pick, pack and labelling. Each parcel is handled individually, prepared for a door-to-door delivery journey and labelled for the destination market.
  • Door delivery with tracking. Once a parcel is dispatched, the delivery time depends on the destination route, and it is confirmed for your market in the quote before you ship — publish that confirmed window on your product pages instead of a generic estimate. Tracking syncs back to your store automatically, so you and your buyer see the same status. For destination markets where customs and tax handling matter, see our DDP door-to-door shipping terms.

Your dedicated account manager and sourcing service are activated once you have placed at least one order. Sourcing quotes are completed the same day (China time) for customers with orders; inquiries without an order take about 24-72 hours. Orders for products already in stock ship within 1 day, and orders that need sourcing first ship within 3 business days after payment.

Pricing Model

The model is deliberately simple: you pay for the product, the shipping and a per-order handling fee. Nothing else.

Failed Deliveries and Returns on COD Orders

Because payment happens at the door, failed deliveries are a normal part of COD trade — but they should not be your loss when the cause is on our side. Damaged or lost parcels are reshipped free or refunded, except when the recipient address provided was wrong. That is the line: if the parcel is damaged in transit or lost, we make it right; if the address you supplied cannot deliver the parcel, the cost sits with the order, as it would with any carrier.

After-sales coordination runs through our local offices in Chile, Peru, Bolivia and Mexico (Latin America), Germany and Italy (Europe), Dubai (Middle East) and the USA, which support customs clearance, warehousing and distribution, VAT/tax paperwork, after-sales coordination and local market feedback. Account managers speak Spanish, Portuguese, German, English and Russian, and Arabic-speaking support is available for Middle East sellers — so coordination with our offices runs in your language while a returned or refused parcel is processed locally. For region-specific preparation, see our Middle East COD markets guide. Overseas-warehouse direct shipping can shorten delivery by 7-20 days, which reduces the window in which a buyer can change their mind.

Who Collects the Cash, Who Settles It, Who Carries a Refusal

These boundaries are worth stating plainly, because they differ by market and route. The cash itself is collected by the destination courier when your buyer accepts the parcel at the door — we are a fulfilment provider, not the collecting carrier. How collected amounts are settled back to you — timing, any collection fee, and the currency of the settlement — follows the arrangement for your market and is confirmed in writing in the order agreement before your first shipment. Confirming an order with your buyer before dispatch (by message or call, in your store's flow) stays on your side and with the courier; our local offices coordinate after-sales handling — clearance, redistribution and returns processing — and our account managers support you, but we do not contact your buyers on your behalf. If a parcel is refused, it returns under the terms of the route you booked, and what the return leg costs is part of the route quote — confirmed before you ship, not discovered afterwards.

COD Fulfillment vs a Standard 3PL Warehouse

An honest comparison helps you choose the right tool. A standard 3PL warehouse stores your prepaid stock close to the customer and picks from inventory you already own and have already paid for. It is efficient — once you have committed capital to stock, freight and import duties, and once your volumes justify it.

This service works the other way. We source and ship per order from China, with no stock commitment and no minimum order quantity. You do not buy inventory before you know it sells, and you do not carry the risk of unsold seasonal stock. The trade-off is real: a 3PL placed next to your buyer will usually deliver faster on repeat SKUs, while per-order sourcing from China carries the sourcing lead time (same-day quotes for customers with orders, shipping within 3 business days when sourcing is needed). For COD sellers testing products, entering a new market or running many SKUs at low volume, per-order fulfilment from a China supply base removes the stock bet entirely. For mature, high-volume repeat SKUs, a local 3PL may be the better economics. We would rather tell you that than oversell.

FAQ

Do I need to buy stock before you ship a COD order?

No. There is no minimum order quantity and no stock commitment. You pay product cost, shipping and the per-order handling fee, and we source the item and ship it per order. If you do hold stock with us, the first 30 days of storage are free at our China and US warehouses.

What happens if a COD parcel is refused or never collected?

Damaged or lost parcels are reshipped free or refunded, except when the recipient address provided was wrong. A refusal is different: the parcel returns under the terms of the route you booked, and the return cost is the one confirmed in your route quote. Reaching the buyer to re-attempt delivery is handled by the destination courier and your own customer contact flow; our local offices coordinate the after-sales handling of the returned parcel locally (clearance, redistribution, returns processing), and your account manager keeps you informed in your language. Before your first shipment, your order agreement confirms for your market who collects the COD cash (the destination courier), how collections are settled back to you, and what a refusal costs — so none of it is improvised later.
